Case Study of Audit Management System at PT Timah Tbk
Overview of PT Timah
PT Timah is a State-Owned Enterprise engaged in mining, more specifically in tin mining. Not only is it the largest tin mining company, PT Timah has also established itself as a modern managed company with the integration of the entire mining process, from exploration, mining, to processing and marketing.
With processes that cover upstream to downstream mining, PT Timah faces great challenges to continuously improve effectiveness and efficiency in each of its business chains. One of the main processes is the integrated supervision process carried out by the Internal Audit Unit (SPI) team.
Business Challenges in the Surveillance Process
However, with the wide scope of supervision coupled with limited resources, the SPI team often faces obstacles in conducting efficient supervision. In fact, the use of the Audit Management System application, which is supposed to facilitate the audit process, often becomes an obstacle due to the lack of flexibility to follow the dynamics in the field.
From this experience, the SPI team of PT Timah met with us to present an application that could be a solution to the problems faced. Not only is it a solution to the problem, the application we develop must also be able to accommodate all the supervisory needs at PT Timah. Starting from the planning process, implementation, to the recommendation monitoring process. With a note, the application developed must use a dynamic approach.
Solutions We Offer
Responding to the needs of the SPI team, we began developing an audit management system application that we named TIAMS. Using a holistic analysis method, we designed this application to be dynamically operated and future-proof to deal with conditions in the field during the audit process.
Here are some of the main features we developed, including:
- Integrated report writing where later every input made by the user can be generated directly through the application.
- Templating the audit program to speed up the audit process performed by using a previously created design.
- Centralized database to store and organize all the data needed in the audit process.
- Integrated communication between stakeholders to facilitate coordination as well as more comprehensive record-keeping.
Results Earned by PT Timah
After several years of using the application, the PT Timah SPI team has carried out several improvement processes to be able to harmonize the application with the conditions faced in the field. And the application directly provides an increase in the audit process carried out by the SPI team, starting from a centralized process, ease of supervision, process automation, to ease of access by stakeholder involved.
Currently, the TIAMS application is in the improvement process to be able to adjust to changes in SOPs and also improve integration with the Audit Management System application owned by MIND ID as a company holding PT Timah.
