Overview of PT Perkebunan Nusantara

As an enterprise-scale State-Owned Enterprise (BUMN), PTPN III plays a crucial role as the holding company overseeing various state plantation subsidiaries. Its business activities cover the management, processing, and marketing of plantation products, with main commodities such as palm oil, rubber, sugar cane, tea, and coffee, spanning a very extensive plantation area.

With operations spread across a wide area and overseeing many subsidiary entities, PTPN III faces complex managerial challenges. Behind the scale of this business lies an urgent need to ensure every subsidiary operates according to good corporate governance standards. This is where the agility of the internal oversight system becomes vital.

Business Challenges Faced

The system previously used by PTPN III had several key issues, including:

• Audit report output not yet up to standard: the report generation process from the existing system did not run optimally because it did not meet the required standard.
• Non-real-time data: the time lag caused by non-real-time data input delayed the flow of information, causing significant delays in monitoring the audit process.

Solutions Offered by Audithink

Recognizing that PTPN III needed a far more robust, flexible, and adaptive audit ecosystem, we introduced Audithink. Rather than simply redesigning the application, we tailored it to the company's needs to be more relevant to its users' mobility. Some of the priority features we developed for PTPN III include:

1. Integrated web & mobile app ecosystem: Audithink is developed as both a web and mobile app, ensuring the review and approval process can be done anytime, anywhere, right from a smartphone.
2. Customizable automatic reports: users can now get precise automatic reports from the system. Audithink also provides a document editor feature, so users can adjust documents directly without leaving the app.
3. To-Do list task reminder: this feature acts as a proactive assistant that reminds users which tasks need to be completed soon.
4. Dashboard overview: we designed an interactive dashboard that displays insights on audit performance for management.

Results Achieved

Through the development of an Audit Management System customized to its needs, the process of tracking and monitoring audit follow-up is designed to be more structured and to support the audit team's mobility. Information on finding status, aging, and overdue follow-up actions can be monitored via the dashboard, supported by notifications and reminders to relevant parties. This system is thus expected to provide better visibility into audit follow-up progress and ease coordination between auditors and auditees throughout the resolution process.
