The services provided cover several key functions, ranging from Human Resources, Internal Control/Internal Audit, Business & Management Services, Legal, Information Technology, to Corporate Communication.

As part of FKS Group, PT FKS Management Services provides services that support various business units within the group, making management and coordination between units an important part of running business activities. FKS Group itself is a business group with operations across various sectors, including food, infrastructure, and property, with operations spanning 10 countries.

Business Challenges Faced

In carrying out the audit process, FKS Management Services still performed several stages manually. Although fully digitalizing the audit process was not yet a primary need, there was a need to enable audit result tracking and monitoring through a system so that follow-up on each finding could be monitored in a more structured way.

This condition meant the monitoring process still faced several obstacles. One of them was the difficulty of sending reminders for findings that had passed their due date (overdue). In addition, the follow-up progress of each finding could not yet be reported in real time, so a more practical system was needed to monitor the status and progress of resolution.

To address FKS Management Services' need to track and monitor audit results, we developed Audithink as a system that helps monitor the follow-up of each finding in a more structured way. The system is equipped with features that help auditors and auditees know the status, deadline, and progress of each follow-up recommendation.

• Follow-up Notifications and Reminders to help auditors and related teams monitor findings that have passed their due date (overdue), so unresolved follow-ups can be addressed promptly.
• Audit Result Monitoring Dashboard displaying the overall status of findings, filterable by head office, branch, or auditor. This dashboard also shows the aging of each follow-up recommendation.
• Follow-up Deadline Extension Request which allows auditees to request a change to the completion deadline from the auditor when there is a need to extend the follow-up execution time.

Results Achieved

The development of the audit monitoring system for FKS Management Services helped make the process of tracking audit follow-up more structured. Through this system, the status, aging, and progress of each finding can be monitored in a single dashboard that can be filtered by head office, branch, or auditor. The monitoring process is also supported by notifications and reminders to help related parties know about findings that have passed their due date. In addition, the deadline extension request feature allows auditees to submit deadline change requests to auditors through the system.
